Overview

Join our team as a Program Analyst and support the Defense Contract Management Agency (DCMA) Blue UAS (Blue List) Program Office by keeping executive operations, calendars, and administrative workflows running smoothly. You will provide direct executive support to government program leadership and help ensure the program office runs efficiently day to day.

Work Schedule and Location:On-Site:  This full-time on-site position will work Monday through Friday, standard duty hours 7am to 5pm Pacific Time at the DCMA facility in San Diego, CA.

Responsibilities

  • Provide executive and administrative support to the DCMA Blue List Program Manager and program leadership, including calendar management, meeting scheduling, and travel coordination
  • Coordinate program office communications and administrative workflows among government personnel, contractor personnel, and external stakeholders
  • Maintain program office calendars, meeting schedules, action item trackers, decision logs, travel trackers, and suspense items
  • Coordinate government travel activities, including preparation, tracking, and reporting of Travel Authorization Requests (TARs)
  • Prepare executive correspondence, briefing materials, meeting agendas, meeting minutes, reports, and presentations
  • Organize and maintain program documentation, electronic repositories, and administrative records
  • Monitor recurring administrative requirements and suspense dates and provide timely status updates to leadership
  • Identify opportunities to improve administrative processes and office workflows

 

Qualifications

Required: 

  • Advanced proficiency managing executive calendars, prioritizing competing demands, and coordinating high-level stakeholder meetings
  • High proficiency with Microsoft Office Suite (Excel for tracking, Word for document formatting, PowerPoint for leadership briefings) and collaborative platforms (SharePoint, MS Teams)
  • Active clearance and enrolled in CE 
  • U.S. citizenship

Desired: 

  • Bachelor’s degree in Business Administration, Operations Management, Communications, or a related administrative/analytical field (equivalent professional experience may be considered in lieu of a degree)
  • Demonstrated experience coordinating destination travel itineraries and maintaining a centralized, real-time travel tracker
  • Familiarity with federal travel regulations and experience assisting with TAR preparation or the Defense Travel System (DTS)
  • Exceptional interpersonal, communication, and organizational skills, with a proven ability to interface professionally with senior military and civilian leadership
