Work Schedule and Location:
On-Site: This full-time on-site position will work Monday through Friday, 8am to 5pm at 610 East Fifth Street, Vancouver, WA 98661.
Provide comprehensive on-site administrative support to the Western Federal Lands Highway Division (WFLHD) in alignment with federal standards and organizational requirements.
Perform a wide range of administrative tasks including correspondence handling, document preparation, records management, and file organization to ensure efficient office operations.
Manage scheduling and meeting coordination, including preparing agendas, tracking action items, and ensuring proper documentation.
Maintain accurate time and attendance records for staff, ensuring timely submission and compliance with agency procedures.
Support fleet vehicle management, including vehicle assignment tracking, mileage logs, and maintenance scheduling.
Prepare and process office supply orders and maintain appropriate inventory levels.
Enter and track administrative and financial information using federal systems such as PRISM, DELPHI, E2 Travel, and other automated database or management tools.
Provide administrative support to Human Resources functions, including onboarding coordination, paperwork preparation, and personnel file organization.
Assist with program and project management support activities, ensuring documentation, tracking, and reporting needs are met.
Ensure accuracy, completeness, and compliance with federal correspondence protocols for both digital and hard-copy communication packages.
Maintain excellent customer service and communication with government staff, contractors, and visitors both in person and through remote communication channels.
Exercise discretion, confidentiality, and sound judgment when handling sensitive or protected information.
Adapt to shifting priorities, deadlines, and last-minute assignments while maintaining high levels of precision and organization.
Coordinate with the Contractor’s internal team to ensure staffing, quality assurance, and timely delivery of all services required by the Task Order.
Follow all directives from the Contracting Officer (CO) and ensure no work outside the approved scope is initiated without CO authorization.
Support compliance with all contract requirements, ensuring all tasks are completed within the period of performance and according to the Statement of Work (SOW)
