Overview

FWI is building a team to provide comprehensive administrative and secretarial support services for the Department of Homeland Security (DHS) Federal Protective Service (FPS), Region 9, supporting critical law enforcement and security operations that protect federal facilities and infrastructure. As a Secretary II, you will serve as the administrative backbone for District and Area Commanders, managing complex calendars, coordinating security program documentation, maintaining critical databases and tracking systems, and ensuring seamless communication and operational support across FPS offices in California, Arizona, and Pacific territories.

Work Schedule and Location:


On-Site: This full-time on-site position will work Monday through Friday,8am to 4:30pm in San Francisco, CA

Responsibilities

  • Serve as primary administrative support for District and Area Commanders, managing reception, visitor coordination, and professional communication with internal/external stakeholders
  • Manage multiple executive calendars, schedule complex meetings and teleconferences, prepare materials, record minutes, and compose correspondence
  • Maintain timekeeping systems, process daily attendance reports, handle mail distribution, and track government vehicle operations
  • Support security programs by maintaining databases for facility assessments, security equipment inventory, post orders, inspections, and vendor audits
  • Prepare and consolidate routine district reports, enter security data into federal law enforcement systems, and track case completion
  • Assist with budget reporting, supply management, training file maintenance, and other operational support as assigned

Qualifications

Required: 

  • High School diploma
  • Minimum one (1) year experience
  • Proficiency in Microsoft Windows operating systems and Microsoft Office (Word, Excel, Access, Outlook)
  • Accurate spelling, typing, and attention to detail
  • Ability to compile and organize reports
  • Excellent communication skills (written and verbal)
  • Professional demeanor and ability to interact effectively with others
  • Ability to meet planned and unscheduled deadlines
  • Ability to work independently with minimal supervision
  • Must pass DHS background suitability clearance (HSPD-12)
  • Must have valid Social Security Card issued by SSA

 

Desired: 

  • Two (2) years relevant experience
